Three channels, one shelf

Orders arrive from a website and two marketplaces, each with its own panel, and somebody downloads three reports every morning to key the same orders into the accounts, while stock is committed on all three channels from one physical shelf.

That produces two symptoms: the re-keying, and overselling on one channel because stock was committed on another.

Orders as records

A confirmed order becomes a sales order in ERPNext, with the customer, the items, the address and the payment status, which then becomes a delivery note and an invoice. No download, no spreadsheet, no re-keying.

Two things to decide early, because they decide the design:

  • An order for a customer who does not exist yet. Create automatically, or queue for review. Both are defensible; not deciding produces a mess.
  • An item on the order that does not map to an item in ERPNext. Something has to hold that order rather than fail silently.

One stock position

Stock is one number in ERPNext, and each channel is told what is available from it.

Kept in step

  • What each channel may sell
  • Sales order, delivery note, invoice
  • Returns, with the stock back in
That stops the two most expensive failures: overselling what you no longer have, and holding stock back on every channel to be safe, which means never selling it anywhere.

Returns

Returns are usually the least systematic part of an online operation, and they are where e-commerce accounting goes wrong.

In ERPNext a return is a credit note against the original invoice with the stock coming back in, so the customer's account, the stock position and the revenue figure move together. Handled by email and adjusted later, it is the single most common reason online sales in the accounts do not match the channel's own report.

The marketplace settlement

A marketplace does not pay you order by order. It pays a settlement, net of commission, shipping, returns and adjustments, on its own schedule.

Reconciling that against your own orders is real work, and it is where money quietly goes missing. Doing it inside the system that holds the orders is the version that scales. It is worth scoping properly rather than assuming it comes free with an integration.

What it does not do

  • There is no connector we install that finishes the job. Every integration is custom work, and any supplier suggesting otherwise has not read your channel's API.
  • It does not make availability instant. If a channel is updated every fifteen minutes, two orders inside that window can still collide. Ask how often availability is pushed, and set a buffer on fast movers.
  • The settlement reconciliation is not included by default. It is scoped as its own piece of work.

The work

The work is the mapping: your items to their SKUs, your customers to their buyers, your tax treatment to their price display, and what happens in each of the awkward cases above. Scoping that carefully is what separates an integration that runs for years from one that needs somebody watching it every morning.

Questions

Can ERPNext connect to my online store?

Yes. Orders from a website or a marketplace can be brought into ERPNext as sales orders through their APIs, so nothing is re-keyed. The connection is custom work each time, because the mapping between your items and customers and theirs is specific to you.

Ask any supplier what happens to an order whose item does not map. The answer tells you how much they have actually built.

How does ERPNext stop overselling across channels?

Stock is a single position, and each channel is given availability from it, with reservation happening when the order arrives rather than when somebody processes it. The remaining risk is the gap between availability updates, covered above.
