Tally · petrol pumps
Tally for petrol pumps: tank to nozzle, slip to bill.
Type the meter readings and credit slips each day. Tally works out the cash and the stock.
- What it is
- A TDL module for TallyPrime
A petrol pump’s day is two sums
One for each nozzle, one for each tank. The module does both from what is typed.

Set up once
- Tanks. Each tank carries its fuel, its DIP chart (centimetres to litres) and an evaporation allowance as a percentage.
- Nozzles. Each sits under the tank it draws from, with its fuel, its opening meter, and the ledgers its cash and credit sales post to.
- Fleet owners and their vehicles. Every vehicle belongs to an owner, so a slip written against a vehicle lands on the right account.
Every day
- Reading voucher. All nozzles on one screen. Type the closing meter and any testing; the litres and the amount at that day’s rate are worked out. Rates can change from one day to the next.
- Credit slips. Slip number, party, vehicle, nozzle and litres. The rate fills itself in, and each slip is kept as a delivery note against the party.
- Cash sale. Nobody types it. Each nozzle’s credit litres are taken from the slips, and cash is what is left after testing.
- Dip stock. Type the dip in centimetres. The tank’s chart turns it into litres and the variation against book stock is shown.
Lubricants are ordinary stock items, sold by the piece on their own sales ledger, and they appear on the daily sales report and the fleet bill alongside fuel.
The fleet owner’s bill
Fleet customers buy on slips all month and are billed at the end of it. Pick the party and the dates, and every delivery note in that range comes into one sales invoice, slip by slip, with the vehicle number on each line.
- Grouped by vehicle, with a subtotal for each.
- A plain list by date, slip number, vehicle, fuel, rate and amount.
- Fuel only, or everything else, when diesel and petrol are billed apart from lubricants.
Unpaid bills show by party, with the days overdue.
Tank stock and evaporation
The tank register runs day by day: opening, tanker receipts with the oil company’s challan number, litres sold, stock in hand, and each nozzle’s meters beside it.
Petrol evaporates. Set an allowance on the tank, 1.5% in the demo, and the register takes sold × 1.5% off stock in hand as a line of its own.
The daily stock register (DSR) compares book and dip for one tank, or for all the tanks of one fuel together.
Reports
- Nozzle-wise and item-wise: meters, testing, credit and cash, day by day.
- Daily sales: each fuel and lubricant, cash and credit, quantity and amount.
- Tank register and DSR, per tank or merged per fuel.
- Party-wise and vehicle-wise sales, and a month-by-month sales grid per party.
- Outstanding by delivery note, with the days overdue.
Deleting or cancelling a sales bill can be set to need a password.
What it is not
It does not read the dispensers. Readings are typed once a day, and every sale is cash or credit.
A customisation, not a new system
- It is TDL, Tally’s own language, added to the TallyPrime you already run. Your data does not move.
- Removing it leaves Tally as it was.
How a module reaches your machines is on the customisation page. Still on Tally.ERP 9? Your data comes across to TallyPrime, and the TDL has to be rebuilt: see upgrading to TallyPrime.
We build the same kind of module for garment units, rice shellers, automobile dealers and loan and finance businesses.
Questions
Answered as we answer them on the phone.
Can Tally handle petrol pump accounts?
Plain Tally has no tank, nozzle or meter reading. The module adds them. The day’s readings become the sale, and each credit slip becomes a delivery note against the vehicle’s owner.
How is fuel stock tracked?
Per tank. Tanker receipts go in with the challan number and sales come off through the nozzles. The dip, read through the tank’s chart, is set against book stock, with evaporation shown on its own line.
