Tally · auto dealers

Tally for auto dealers: spares, service jobs and warranty claims in one ledger.

The vehicle, the job card and the customer's account, joined up inside the Tally you already run.

Three businesses, one customer

  • Vehicle sales
  • Spares over the counter
  • Workshop job cards: parts and labour
One customerLinked through the vehicle
Workshop labour is recovered from the customer, or from the manufacturer under warranty.

Standard Tally does the invoices. What it does not do is join them, and the joins are where the money leaks: unclosed job cards, unrecovered warranty, and a customer who exists three times because nobody linked the vehicle to the ledger.

What the module adds

  • Job cards as real documents. Opened against a vehicle and a customer, carrying the parts issued and the labour booked, moving from open to invoiced. Parts consumed on a job card come out of the same stock as counter sales, so there is one stock position and not two.
  • Vehicle and chassis details where they belong. Registration, chassis and engine numbers on the transaction, so the service history of a vehicle is retrievable, including when it changes hands and comes back under a different owner.
  • Warranty claims tracked as receivables. A claim raised against the manufacturer is money owed to you. Recorded as such, it ages, and somebody can be asked about it. Left off the ledger, it is found during an audit a year later, or not at all.
  • Spares by part number and by bin. Fast and slow movers separated, obsolete stock visible. Parts stock is usually the largest number on a dealer's balance sheet and the least examined.
  • Insurance and finance work, where you handle it, kept separate from the vehicle sale so the margin on each is knowable. Insurance companies and vehicle colours are masters of their own, with an insurance report to go with them.

Reports

Job cards open beyond a set number of days. Warranty claims outstanding, by age and by manufacturer. Parts ageing, with non-moving stock listed rather than summarised. Mechanic-wise labour recovered. Customer and vehicle service history.

The first two pay for the module. Unclosed job cards and unrecovered warranty are both real money sitting still, and neither appears in a standard trial balance in a way anybody notices.

What it is not

This is your accounts, stock and job cards, in Tally. It is not a manufacturer's dealer system and it does not file warranty claims for you. Claims are filed the way your manufacturer requires; the module keeps each one on your ledger, as money owed, until it is paid.

A customisation, not a new system

  • It is TDL, the language TallyPrime itself is written in, added to the Tally you already run.
  • Your data does not move. No migration, no parallel run, no fortnight of double entry.
  • Removing it leaves Tally as it was. A much cheaper mistake to make than a new system is.

Deployment and upgrades are covered on thecustomisation page.

Cost

Quoted per dealership. What decides it: whether you sell vehicles or only run service and spares, how many manufacturers you represent, whether you have more than one location, and how your parts data is currently structured.

The parts master is usually the bulk of the work. A dealership with a clean part-number list is a much shorter project than one where the same part appears under four descriptions.

Questions

Can Tally handle vehicle service job cards?

With the module, yes. A job card is opened against a vehicle and a customer, carries the parts issued and labour booked, and is converted to an invoice on closing, with parts drawn from the same stock as counter sales. Standard TallyPrime has no job card; that document, and its link to the vehicle and to stock, is what the customisation adds.

How do I track warranty claims in Tally?

As amounts receivable from the manufacturer rather than as a write-off, so each claim ages on a report until it is settled and somebody can chase it. The default in most dealerships is that labour and parts get absorbed into cost and the claim lives in a separate file. That works until the volume rises, and then it quietly becomes one of the largest unrecovered amounts in the business.
