The statutory core
A payroll system for an Indian business has to handle the whole set, and Spine HRMS does.
- Provident fund. Employee and employer contributions, the wage ceiling, the split between EPF and pension, and the monthly return.
- ESI, for employees under the wage threshold, with the contribution split and the return.
- Professional tax, which is a state subject. The slab that applies in Punjab is not the slab that applies in Maharashtra, and a system that hard-codes one state is not a system.
- TDS on salary, computed across the year, not month by month, under whichever regime each employee has chosen, with proof of investment collected and applied.
- Gratuity and bonus where they apply.
Anything that cannot do all of that is not a payroll product for an Indian business, whatever else it does well.
Spine HRMS
- Commercial software, licensed from Spine and implemented by us.
- Runs in the cloud or inside your own building, under contract.
- Maintained by the vendor and its partners, with us as your first call.
- Suits HR data that is not allowed to leave the premises.
What implementation involves
The software is the easy half. Every payroll implementation we have done spends most of its time on the same four things.
- Getting the salary structure right. Basic, HRA, allowances, deductions, and the rules that vary by grade or location. Most businesses discover during this step that the rules they thought they had are not the rules they actually apply.
- Opening balances. Year-to-date earnings, tax already deducted, leave balances. Go live mid-year and this is the work.
- Attendance. Where the data comes from, whether a biometric device, a register or a roster, and what happens on an exception. This is the part that generates arguments after go-live, not before.
- One parallel run. One month, computed both ways, compared employee by employee. It is not optional, and an implementation that skips it discovers its errors on payday.
Add a fortnight for the first month's statutory returns, because filing from a new system for the first time always finds something.
Questions
Including us. The answers below are ours.
Does it handle Punjab professional tax?
Yes. Professional tax is a state subject and Spine HRMS treats it as configurable, so the Punjab slab is set up during implementation, not built into the software.
Ask that question of any payroll vendor, and ask to see it configured for your state before you buy, not after. A product that treats professional tax as one national rule will not survive a business with employees in two states.
Where does payroll run?
Frappe HR runs on Frappe Cloud, set up and supported by us. Spine HRMS runs in the cloud, or inside your premises under a vendor contract.
Can HR software talk to Tally?
Yes. The payroll journal can be posted into Tally instead of being re-keyed, using Tally's own integration interfaces.
It is a small piece of integration work and worth doing. Payroll is one of the most reliably re-keyed entries in most businesses.
Talk to us
Call +91 98554 31488, or use the WhatsApp button above. Tell us how many employees, how many locations, how many states, and whether the salary data is allowed to sit outside your building.
Those four answers usually shape the whole implementation plan in one conversation.
Tell us what breaks at month-end.
One call, your real books, no slide deck. You leave knowing what to fix first.
